Detailed Privacy Notice, for users, volunteers, workers and trustees.


This Privacy Notice explains in detail the types of personal data we may collect about you when you interact with us. It also explains how we’ll store and handle that data, and keep it safe. We comply with British data protection laws.

When do we collect your personal data?

When you attend a foodbank session to use our services or volunteer with us. When we fill out a registration form with you we collect the information you provide us

What sort of personal data do we collect?

We will collect only this information from users:

  • Your name
  • Your ethnicity
  • Your gender
  • If you are homeless
  • Your door number, street, and your postcode, 
  • How many people are in your household
  • Your own age
  • The ages of your children
  • The dates you visit the Foodbank
  • The reason you give for why you are using the Foodbank

For volunteers, workers and trustees we collect name and contact details. We also may collect ethnicity and age information. 

How and why do we use your personal data?

So that we can be fair to all users and count the number of your visits. We also use anonymous information to help our aims to address food poverty.

How we protect your personal data?

The data for clients/ service users is stored on a server in the USA by a software provider who complies with British data protection law and is password protected.

The data for volunteers and trustees is used on a daily basis by foodbank managers who store it on password protected IT and mobile equipment.

How long will we keep your personal data?

We hold users information for seven years. At that point we destroy name and address details but keep anonymised historical database records.

Who do we share your personal data with?

We do not share personal information with anyone. There is one exception, if we are concerned about someone’s safety we may contact safeguarding organisations.

What are your rights over your personal data?

You have the right…

  • of access to the personal data we hold about you.
  • of the correction of your personal data when incorrect, out of date or incomplete.
  • to withdraw consent: Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent.

You have the right to erasure: You can request us to delete the records we hold.
